Activity Sign-In Sheet & Check-In Management

The Activity Sign-In Sheet is where you run attendance for a scheduled activity: check members in and out, add walk-ins, and keep a live accountability (PAR) record of who is on scene.

Who can use it

Checking other people in and out requires the Activities — Manage Check-In and Check-Out permission. It's granted by default to Agency Admin, Training Manager, and Operations Manager. Members without it can still check themselves in and out, but the sign-in sheet and the per-person check-in controls are hidden.


Check-in methods

Every activity is created with a Check-in Method (set in the scheduling wizard). It decides how people are allowed to check in:

You can change the method by editing the activity.


Opening the Sign-In Sheet

From an activity's detail window, click the person-badge icon in the top-right header (next to Edit and Delete). That opens the full Activity Sign-In Sheet page for that activity.

Completed activities

The sign-in sheet icon is hidden once an activity is Completed — unless someone is still checked in, in which case it stays available so you can check them out.


The sheet at a glance

The sheet shows the activity summary (date, location, map) and a roster with tabs:

Counts for Invited, Checked In, and Checked Out are shown as chips under the map.

Checking someone in

On the All and Invited tabs, each not-on-scene member row has a green check-in icon in the Actions column. Click it to check that member in on their behalf (recorded at the current time). They immediately move to On Scene.

Checking someone out

On-scene rows have a check-out control. You can:

  • Check out one person — the per-row check-out button.
  • Check out everyone — the Check Out All button.
  • Force a check-out — for a stuck record (someone who never checked out), an admin can force-close it with a reason and a corrected time.

Manual Check-In tool (adding people)

The Manual Check-In button opens a dialog with three tabs:

Check more than one person at once

The Agency Member and External Agency Member tabs are multi-select — tick the checkbox next to each name and check them all in together. Members who are already on scene don't appear in the list.

Back-dating a check-in time

Every tab has an editable Check-In Time field (it defaults to now). Change it to log someone who forgot to check in at the right time.

No double-booking

You can't check a member in for a time they were already checked in (any activity, including this one) — the app blocks it and shows the conflicting window. Pick a time outside their existing check-in/check-out windows. This is a hard rule with no override.


Members checking themselves in and out

On Manual or QR or Manual activities, a member can check themselves in without help:

  1. Open the activity.
  2. Tap Check Me In at the top of the window.
  3. Once on scene, the button becomes Check Me Out.

On QR Code activities, members scan the posted QR code instead. The self check-in/out buttons disappear when the activity is Completed.


Completion & reopening safeguards

  • An activity won't auto-complete while anyone is still checked in. When the end time passes, RAM marks the activity Completed — but only if everyone has checked out. If people are still on scene, it stays Published until they're checked out (use Force Check-Out for stragglers).
  • Extending the end time reopens a completed activity. If an activity already completed and you edit it to a future end time, it returns to Published so members can RSVP and check in again.

Activity log integration

When Auto-create Activity Log is on, checking in creates an activity-log entry, and checking out (or the activity ending) calculates the duration and logs the hours under the activity's category. Back-dated and admin check-ins flow through the same way, so service-hour totals stay accurate.
