Google Calendar Integration

RAM can copy your agency's scheduled activities onto one Google calendar, so members who live in their calendar see them there too. It is one way: RAM writes to Google, and never reads anything back.

Only Agency Admins can connect, change, or disconnect it.

Who can see it

Everyone who has access to the Google calendar you pick can see the activities on it, including Invite Only activities. RAM does not carry invitations over to Google. Choose a calendar whose audience matches who should see your whole schedule, or create a new calendar for it and share it only with the right people.

Where it is

Agency (left menu) → Agency Settings → Integrations → Connected Services → Google Calendar. Only Agency Admins can open it.

Connecting

  1. Select Connect Google Calendar.
  2. Sign in to Google with the account that owns the calendar, and approve the request.
  3. You return to RAM. A green Connected badge appears with the Account that connected.
  4. Open the Target calendar menu and choose which calendar RAM should write to. Your primary calendar is marked (primary).

Choosing a target calendar starts the first copy. RAM queues every activity that is not canceled, past ones included, and pushes them to that calendar in the background. A big schedule can take a little while to appear. Choose a different target later and RAM queues everything again for the new calendar. Check the old calendar afterward, in case events from before remain there.

What gets copied

In RAMOn Google
TitleEvent title
DescriptionEvent description. If the activity has a map pin, the saved place name and address are added here.
Start and end timeEvent time, in the activity's timezone
LocationThe place name and address. If the activity has a map pin, the location is the pin's coordinates so Google opens the exact spot.

Each event also says it came from Rescue Agency Manager.

Not copied: who is invited or attending, check-in method, category, notes for participants, and visibility. A Team Event and an Invite Only activity look the same on Google.

What happens when things change

In RAMOn Google
New activityA new event appears
Edited activityThe event is updated
Cancelled activityThe event is removed
Deleted activityThe event is removed
  • Change activities in RAM, not in Google. RAM is the source of truth. An edit you make to the event in Google is not read back and may be overwritten the next time RAM updates that activity.
  • If Google is slow or refuses a change for a moment, RAM retries on its own.

Status

The block shows how the connection is doing.

You seeMeaning
ConnectedSyncing normally.
Last syncWhen RAM last pushed a change.
Last errorThe most recent problem Google reported.
Needs reconnectGoogle revoked access or the sign-in expired, so syncing has stopped.

When a connection stops working, RAM sends the agency's administrators a high-priority in-app notification titled Google Calendar sync disconnected, once. New and edited activities do not reach Google until it is reconnected.

Reconnecting and disconnecting

  • Reconnect. When the badge says Needs reconnect, select Reconnect and sign in to Google again.
  • Disconnect. Select Disconnect and confirm. RAM stops syncing. Events already on the Google calendar are left as they are, so delete them in Google if you do not want them there. You can reconnect at any time.
